Step by step guide to the author management page

 

Below you can find a detailed description of all the actions that you might need to perform.

1.    Introduction to the main elements on the author page

 

This is how the new profile page looks like now.

 

 

Once you are viewing an author’s profile, you will notice that you have the following options:

Clicking on the “Manage profile” tab will take you to the author management page.

2.    Login

 

The first thing you can do is login with your arXiv account.

 

Clicking on the “Login into INSPIRE through arXiv” button will redirect you to the arXiv website.

 

There you can use your arXiv username and password.


*Login is strongly recommended but not necessary. You can still continue as a guest. That means you can manage your profile but your edits will not be visible right away. It will take time for your changes to appear as they will be managed manually by one of our administrators.

3.    Choose profile

 

 

Once you are logged in, INSPIRE will show you the profile(s) that best matches your publication list.


A list similar to the one below will appear. This list contains all your arXiv publications that already exist in INSPIRE. It is automatically created.

4.    Connect profile to ORCiD and other outside IDs

 

It is also recommended that you add an ORCiD to your profile.

(add maybe one sentence on what the action is) (where to find the ORCiD and where to put it).

 

This will automatically assign the publications you have in ORCiD and already existing in INSPIRE to your publication list.


ORCiD (Open Researcher and Contributor ID) is a unique researcher identifier that distinguishes you from other researchers. It holds a record of all your research activities. You can add your ORCiD to all your works to make sure they are associated with you.

5.    Merge profiles



When you notice that an author’s publications are scattered among two or more profiles, you can merge a set of profiles together.

 

Clicking on “Merge profiles” will lead you to a list of automatically suggested names. If the name you are searching for is not on the list, you can find it in the search box.

 

 

You can add as many people as necessary by “Add to merge list”. Decide which one you want to make the primary profile. Once you have a complete set of profiles, you can press the “Merge profile” button. Your actions will need to be confirmed by our staff before they take effect.

 

Consider that once the action is confirmed, all the information (including publications, IDs and citations) will be assigned to the profile you choose as a primary profile. After the merging only the primary profile will exist in the system and all others will be automatically deleted.

6.    Assign papers

You can now review the list and correct it if necessary. Click on the “Manage publication list” button to check if the list is correct.

 

For each publication you can decide to:

- confirm this is your paper

- remove it from your publication list when it is not authored by you

- assign it to somebody else

 

You can select all publications and then choose from the three options, or decide for each one separately. You can choose from the buttons on the top or the ones on the side.

When you notice that some of your publications are missing in this list, you can also assign them by yourself. You can also access the list clicking on the “Attribute papers” tab in the navigation bar. The changes will not appear immediately though as your input needs to be confirmed by our staff.



If you decide to assign a paper to somebody else, clicking on this option will take you to a page where you need to find the person’s name.




A list of names will appear. Choose the one that corresponds to the real author of the paper and click “Attribute paper”.

7.     Connect profile to HepName record



Based on your account information, INSPIRE has chosen a couple of HepNames records that may match your profile, you can help us decide by sending us email and suggest the connection.

 

If none of the options apply, you can also create a new HepNames record. Note that the new record you created will be reviewed by our administrator before release, thus will not be visible immediately.
